The AAMP Planning Committee is a collaborative team of advisors who guide the direction of the program by planning community events, coordinating recruitment and engagement strategies, and ensuring AAMP stays responsive to the needs of the UC Davis advising community. Committee members meet for one hour each month and work together on event planning, community programming, and subcommittee projects that strengthen advisor connections across campus.
This pathway is a great fit for advisors who enjoy event planning, behind-the-scenes program work, or those seeking leadership experience and campus-wide engagement. It also provides a flexible and collaborative way for anyone interested in contributing ideas and building community within UC Davis advising. No prior committee experience is required—just enthusiasm, a willingness to contribute, and a commitment to participating in AAMP programming. Membership is open to all AAMP participants, including mentors, mentees, and advising ambassadors.
Overview
- The AAMP Planning Committee operates under two co-chairs, each committing to a two-year term with one rotating off each year to allow a year of overlap as a new co-chair assumes responsibilities.
- The AAMP Planning Committee’s role is to ensure the mentoring program provides a structured environment for UC Davis advisors to develop a sustainable, engaging, and rewarding career that benefits the individual and the UC Davis community as a whole.
Co-Chairs
Role Summary:
Lead the overall vision, planning, and coordination of the Academic Advising Mentorship Program (AAMP), ensuring alignment with advising community needs and institutional values
Responsibilities:
- Provide leadership and direction for the program’s structure, goals, and programming
- Facilitate collaboration among committee members and oversee timelines
Key Tasks:
- Set agendas and lead committee meetings
- Oversee annual planning and strategic updates
- Liaise with campus partners and Academic Advising Enrichment leadership
- Support all subcommittees and ensure communication flow
- Represent AAMP in campus-wide advising initiatives and meetings
Subcommittees
Expected Time Commitment each Quarter: ~7-8 hours (includes committee meetings, community programming, and miscellaneous subcommittee tasks)
Events
Role Summary:
Supports planning and executing events
Responsibilities:
- Plans logistics and coordinates with relevant subcommittees on planning, promoting, and assessing events
- Organizes engagement opportunities and ensure a high-impact experience for all participants
Key Tasks:
- Sets and finalizes logistics (e.g., date/time, meeting space/Zoom, coordination with facilitators)
- Collaborates with Advertising/Marketing on promotion
- Disseminates key event information to relevant advising email lists/Slack channels (ideally at least 2-3 weeks prior to event)
- Coordinates with Assessment on follow up surveys
- Communicates event details to committee members
Recruitment/Retention
Role Summary:
Supports recruitment and retention of AAMP participants
Responsibilities:
- Leads outreach and retention strategies for participants in mentorship and community programming
Key Tasks:
- Mentorship Liaison
- Manages and checks mentor and mentee applications at the start of the academic year (and monitors any mentee applications are received after the application period)
- Works with Co-Chairs to arrange/manage mentorship pairs/pods
- Works with Assessment (centralized in Academic Advising Enrichment) to evaluate mid-year and end-of-year mentorship surveys, notes patterns/trends, and recommends changes if needed
- Brings any concerns related to mentorship experience or matched pairs/pods to Co-Chairs
- Monitors participation trends and follow up with participants in AAMP community program and/or disengaged members
- Work with Advertising/Marketing to brainstorm ways to increase AAMP visibility using innovative and cost-effective strategies
Advertising/Marketing
Role Summary:
Manages communication and promotion of AAMP events to raise visibility across campus
Responsibilities:
- Develops and spearheads communication strategies to promote the program
Key Tasks:
- Creates consistent and engaging outreach/promotional materials (i.e., designs flyers, writes email campaigns)
- Collaborates with other units to broaden reach of AAMP
